POLICIES

Our services include more than top-notch, clean equipment and on-time delivery, set-up, and take-down. We also offer a wide range of product styles and expert advice and ideas. If you wish, we take the time to sit down and consult with you in order to better help you plan your event.
 

 

TERMS
 

A signed contract and date-hold requires 50% deposit of the costs associated with the rental order and must be received to reserve your date(s) and time(s). The balance of your rental order is due seven (7) days prior to your delivery. Any additional costs that arise after full payment is received will be due within two (2) days of your delivery unless prior arrangements have been made. 

PRICING

Williamsburg Event Rentals' rates are priced per event, not by day. An event is defined as a one to three-day time-frame; which includes the time it takes to setup, execute and breakdown a single event. Longer rental periods or rental periods in which goods are used for multiple events are priced on a individual basis. All prices are subject to inventory availability and are subject to change without notice. See terms for pricing conditions.
 

CANCELLATION policy

Cancellations made more than 30 days prior to the delivery date will incur no charges.

Cancellations made less than 30 days but more than 7 days from the delivery date will incur a charge of 50% the invoice total. 

Cancellations made less than 7 days from the event date will incur a 100% charge of the full invoice total.

Cancellations which include rental(s) of any special order items are subject to 100% charge of the invoice total.

Cancellations made which include rental(s) of any special orders, tents, stages and/or dance floors within these policy dates are subject to 100% charge. *sub-rented items may be subject to additional cancellation terms and will be described in the description of said items within the body of the rental order. The customer must initial each of these items to return with the signed agreement.

 

DELIVERY Policy

Standard delivery charges apply to normal business hours and ground-floor locations. Additional charges may be incurred for unique set-up applications, last minute bookings and for deliveries outside of normal business hours, including weekends and holidays. Tables and chairs will be delivered stacked; they can be set up and taken down by our staff for an additional fee. All food service items are delivered sanitized and wrapped in racks.

 

Damage Waiver

 

A damage waiver is not insurance. Your liability for loss or damage will not be waived for any items that are not returned, irrespective of the reason. Missing items will incur full replacement cost. The damage waiver fee is non-refundable. Additional charges for loss or damage assessed on return of rental items shall be clients responsibility if not covered by or exceeds damage waiver. A damage waiver fee covers charges for incidental losses such as a few broken/chipped items or repairable damage on rental items. Larger items such as tents and accessories, lighting, staging/dance floors and any sub-rented items etc... are subject to full replacement cost.
 

Inclement Weather

Williamsburg Event Rentals is not responsible for delays caused by weather. Williamsburg Event Rentals reserves the right to alter, postpone or cancel the time and date of delivery, installation or pickup of tents, stages, and all other rental items when affected by weather and other causes beyond Williamsburg Event Rentals’ control.

CUSTOMER'S RESPONSIBILITIES
 

Customers are also responsible for accepting correct quantities at time of delivery. All equipment including racks, containers or the like used in the transportation of rental equipment, is the customer's responsibility until collected by our staff. After use, tables and chairs must be stacked and food service items must be rinsed and returned in their appropriate racks for collection to avoid an additional cleaning fee. Linens must be dry and free of debris and put in mesh bags supplied by WER. The customer will incur full replacement charges for items that are lost, broken, or permanently damaged by wax, red wine, burns, lipstick, or any other substances. Customer is responsible for communicating all rental rules and responsibilities onto all involved parties in this contracted event including vendors, coordinators, representatives and/or chairpersons that will be taking part in any portion of this rental.
